What are the different login options?
We offer a few different login methods and you can choose the one which best suits your school.
Single Sign-On - In most cases, we highly recommend Single Sign-On as the simplest and most efficient login method. SSO enables users to login using the same credentials they already use at school - eliminating the need to create, distribute and maintain a separate set of credentials.
Satchel One integrates with several Single Sign-On options: Active Directory (LDAP), Google, Microsoft and RM Unify. Please see our article Single Sign-On for more information.
Email and password - If you cannot / do not want to implement Single Sign-On, users can instead create a separate set of login credentials just for Satchel One. If a user forgets their password, they just need to click 'Forget password?' on the login screen to trigger a password reset email.
PIN codes (students only) - We generally discourage PIN codes and recommend that they should only be used as a last resort. However, one scenario where they might be preferred is if students do not have an email address to link to their Satchel One account, since they are too young for email. But in this scenario, maybe it would be best to just have parents logging in?
Once you've set up your preferred login method, your school's unique login page will be customised to only show this option.
How do we set up Single Sign-On?
Satchel One integrates with several Single Sign-On options: Active Directory (LDAP), Google, Microsoft and RM Unify. You can enable, disable, and amend your SSO settings by going to Tools → System → Authentication.

Our school has a pre-existing mail merge template. Can we use this to send out Satchel One login letters?
Yes, but to do so you will need to generate a Mail Merge File via the legacy version of Satchel One. To navigate to the legacy version, go to Tools → Staff / Student Directory and then follow the orange link at the top of the page. In the legacy version, go to Admin → Login Details, select the relevant group of students (year group, reg group or whole school), and choose Mail merge file.
To ensure the correct details are being sent out and to avoid GPDR issues, please check the success of your mail merge by spot checking the student PINS (if using them) and parent codes on your letters against the ones showing in Satchel One.
What is a parent code and how should parents use it?
If your school's MIS is set up to sync with Satchel One, staff and student data is imported and their Satchel One accounts are created automatically. However, parents are not included in the import, so they need to create their Satchel One account voluntarily.
Each student has a unique parent code. Parents use this code to create their account and link themselves to their child. The parent code can be used up to five times to create five separate parent/carer accounts linked to the same student.
Once a parent has created their account, they no longer need the parent code. Moving forward, they will login with their email and password.

⚠️ Important: Parent codes are not yet available in the new version of Satchel One, so you will need to go via the legacy version to obtain them. Go to Tools → Students → Student Directory and click on the orange banner directing you to the legacy version.
A parent has two children attending our school. How can I link both children to this parent's account?
Parents can link their account to multiple children at the same school themselves - read more here.
However, as a Satchel One administrator, you can certainly carry out this task on their behalf as well:
Find the parent account in the Parent Directory.
Click ✏️ Edit and link their child to their account by selecting them in the dropdown menu. Then Save Changes.
A parent has a child attending our school, and another child attending a different school who also use Satchel One. How can I link both children to this parent's account?
You can't. It is not possible to link children from different schools to the same parent account.
The parent will need to obtain a new parent code from their second child's school and create a separate parent account from scratch.
However, the good news is that the parent can use the same email address to create multiple parent accounts linked to their children at different schools.
A member of staff works across multiple schools in our trust / local authority. Can they have a Satchel One login for each school?
Yes, they certainly can. However, it is not currently possible to view data across multiple schools through the same Satchel One account. So this member of staff will need a separate Satchel One account for each school.
For this user to be set up with multiple Satchel One accounts, they will need either a separate email address for each, or a separate email alias for each. For example, an alias for help@teamsatchel.com would be help+1@teamsatchel.com.
You can set up multiple aliases to give this user as many Satchel One accounts as they require, depending on how many schools in your trust / local authority they need access to.
Our school has changed email domain. How do I update every user's email address en masse?
You will need to navigate back to the legacy version of Satchel One temporarily. Go to Tools → Students > Student Directory, then click the orange link at the top of the page. This will open the legacy 'Manage Users' page. Click either Students or Teachers at the top, then click 'Update emails' on the top right-hand side and follow the instructions.
Please note that the above guidance only applies for updating user email addresses en masse. To update the email address for an individual user, use the new version of Satchel One.
Click Tools → Staff / Students → and select the relevant directory. Then find the user and click 'View' on the right-hand side of the screen next to their name to edit their personal details.
How do I import staff / student photos from our MIS into Satchel One?
If your school's MIS data is imported to Satchel One via Wonde, please ensure you have consented to the optional 'Photos' scope through the 'Core' section of your Wonde dashboard. Then login to Satchel One and consent to the 'Photos' scope via Tools → System → Integrations.
If your school uses Groupcall XoD, you just need to consent to the 'Photos' scope directly in Satchel One via Tools → System → Integrations.
