Referred Incidents

Report serious or repeated low-level incidents to your colleagues for further action

What are Referred Incidents?

Referred Incidents allow staff report and manage serious or repeated behavioural issues.

When an incident is reported, key staff are notified based on your school's policy. Staff can then update the incidents, take follow up actions, and add details as needed. Once an incident is marked as Resolved, students and parents will also be notified.

Access Referred Incidents

🔒 The actions within this section are controlled by the My referred incidents and All Referred Incidents permissions.

Navigate to Behaviour > Referred Incidents. By default you will see the list of incidents reported today.

You can use the filters and date picker at the top to:

  • Change the date to a date frame you prefer

  • Filter by All incidents to see all the incidents at the school

  • Filter by My incidents to see only the incidents reported by or assigned to you.

  • Filter by status to view Unresolved or Resolved incidents

Create a Referred Incident

🔒 The actions within this section are controlled by the My referred incidents permission.

Click Create and fill in the form to create a Referred incident.

Details

  • Date - Record when the incident took place. This defaults to today but can be amended.

  • Reason - The reason for the report.

  • Activity - The activity that was taking place at the time of the incident.

  • Location - The location of the incident.

  • Time of day - When the incident occurred.

  • Reported by - The reporter’s name will be automatically selected.

  • Assign to - Optionally escalate to a specific member of staff who will then see the incident under ‘My referred incidents’.

  • Status - The current status of the incident report.

⚠️ Referred incidents will only be visible to students and parents when status is Resolved.

The options for Activity, Location, Time of day and Status can be customised in Tools > System > Lookups.

Behaviour reasons can be managed in Tools > Apps > Behaviour > Behaviour reasons. Restricted reasons require elevated permissions.

Notifications

Certain members of staff may be automatically notified when referred incidents are created for specific reasons.

Students

Select the students involved in the incident one at a time and click Done to add them to the list. You can repeat this process for all other students involved, assigning each their specific role and point value.

  • The points value will auto-fill if the selected reason has a default value. This can be edited manually.

  • If you like to record not just the aggressors but also witnesses or targets, you can change the points to 0 for these students.

You can also specify the Outcome when creating the incident, or update it later.

Role and Outcome options can be customised in Tools > System > Lookups.

Comments

Use the comments section to add notes about the incident. These are only visible to staff by default.

You can optionally toggle Share comments with students and parents. Comments will only be visible to them once the incident status is Resolved.

⚠️ When sharing comments with multiple students and their parents/carers, avoid including any sensitive or personal information.

Once all relevant information has been added, click Save to create the referred incident.

View and edit incidents

🔒 The actions within this section are controlled by the My referred incidents and All referred incidents permissions.

Click View on any of the Referred incident cards to view more details.

To edit the details of the incident, including its Status, click ✏️

To add or remove students, open the options menu ( ⫶ )

You can also edit individual students to amend their role, points or outcome at any point. Remember to click Save when done.
