Understand the difference between PP eligible and PP recipient

What are Pupil Premium imports?

Pupil Premium imports allow you to upload the file provided by GIAP to update students' Pupil Premium recipient indicators for the current financial year.

Students who are eligible for Pupil Premium might not necessarily receive funding that financial year. This is because funding is given on yearly basis, from April to March. A student may become eligible only after funding have been allocated, so they won't be a recipient until next year.

In Satchel One there are two indicators for students who are eligible and those that are receiving finding this year, both of which can be seen in Inclusion summary on the student profile.

PP eligible

A student is considered PP eligible when the meet any of the following criteria:

  • Free school meals (FSM) recipient currently or in the last 6 years (FSM6)

  • Service child (SC) currently or in the last 6 years (SC6)

  • Looked after child (LAC) or Post-looked after (PLAC)

PP recipients

Students who are PP recipients are determined by the DfE. A pupil premium download is available three times a year. These downloads will be made available on the get information about pupils (GIAP) portal which is accessed through DfE Sign In.

Export eligible pupils

  1. Navigate to Tools > Students > Student imports > Pupil premium imports.

  2. Export the list of students who are eligible for Pupil Premium by clicking Download file.

  3. Open this file and copy the UPNs

  4. Log in to Get Information about Pupils (GIAP).

  5. On the GIAP Pupil Premium menu, select Search.

  6. Paste the UPN list to generate the DfE CSV file.

Get Pupil premium students

A pupil premium download is available three times a year, in Spring, Summer and Autumn.

  1. Log in to Get Information about Pupils (GIAP).

  2. Click on the Data downloads link at the top of the page

  3. You can then download any files that the DfE has released to your school. You'd want to select the latest PP file for the current financial year.

This is what the file should look like:

Import funding recipients

  1. Navigate to Tools > Students > Student imports > Pupil premium imports.

  2. Click Create

  3. Upload the file you downloaded from GIAP

  4. Select which Premium types should mark a students as PP recipient

  5. Click Save

The students in the file will now show the PP indicator in Inclusion summary and across the site for the duration of the financial year, as indicated in the GIAP file.

What’s the difference between PP eligible and PP recipient?

Eligibility is calculated in Satchel MIS based on your records (e.g. FSM6, SC6, LAC). Recipients are those confirmed by the DfE as receiving funding this year.

Where do I get the official Pupil Premium recipient list?

Download the file from the GIAP portal via DfE Sign-In.

Why doesn’t a newly eligible student appear as a recipient?

Funding is only allocated once per year, based on DfE records. Late joiners won’t be funded until the following year. Make sure you have uploaded the most recent file.

Can I see which students are PP recipients?

Yes, in the Inclusion summary of the student profile. You can view and export this information for all students via the Student directory, with the Inclusion groups column selected. You can also see summarised information about Pupil premium and other funding indicators in the Student demographics report.
