What is the Detentions Overview report?

Detentions Overview is a report displaying the full details of every detention set across the whole school. You can use this report to easily identify students who are consistently receiving detentions, not attending them, and much more.

To access the Detentions Overview report, navigate to Reports > Detentions Overview. The report consists of rows and columns.

Each row represents an individual detention. This means that if a student has multiple detentions scheduled during the selected date range, their name will appear in multiple rows.

Detention details are shown through the following column headings:

  • Starts at

  • Ends at

  • Set at

  • Student

  • Student UPN

  • Inclusion groups

  • Current reg group

  • Current year group

  • Detention type

  • Reason

  • Attendance status

  • Set by

  • Assigned to

  • Activity

  • Comments

  • Duration (mins)

  • Location

  • Room

  • Rescheduled

  • Rescheduled to

The list of detentions can be sorted in ascending / descending order by any of these variables. To sort, click the arrows on any column heading - click twice to sort in reverse order.

To view the list of detentions in full screen mode, click the full screen icon (four diagonal arrows) on the top right-hand side of the table.

The results showing under ā€˜Detention type’ and ā€˜Rescheduled to’ are hyperlinked, allowing you to click straight through to the detention register for that individual detention.

Filter Detentions Overview

The filtering options are used to refine the list of detentions.

By default, the date range covers the past week, but you can customise it to cover a specific timeframe. Select the date range you require and click Apply dates. The selected dates refer to when the detention was scheduled for.

You can filter the list of detentions by any of the individual column headings. To do this, hover your cursor over the column heading and click the three horizontal lines.

A text box will appear. In the text box, type the word you’d like to filter by and press Enter on your keyboard.

Export data

To export the Detentions Overview in CSV format, click the blue button ā€˜Export CSV’ on the top right-hand side of the screen. Any filters you have applied will be carried over.

Use cases

Detentions Overview is versatile and customisable. We’ve outlined a few common use cases below.

Identify frequent offenders

To identify students frequently receiving detentions, click on the ā€˜Student’ column heading. The list of detentions will be sorted by student surname (alphabetical order), meaning you can easily see if a student has received detention multiple times. You can also look at the ā€˜Reason’ column to see why the student is in detention and spot repeat patterns of misbehaviour.

Escalate missed detentions

The Detentions Overview report gives you the information you need to identify which students have missed detentions and then escalate them efficiently.

On the ā€˜Attendance status’ column heading, apply a filter to show all detentions where a student has been marked with ā€˜Unauthorised absence’ by the cover teacher. Then, on the ā€˜Rescheduled’ column heading, apply a filter and select ā€˜Blank’.

You are now looking at all the missed detentions which have not been rescheduled yet and require escalation. Click on one of the hyperlinked results showing under ā€˜Detention type' (or open the link in a new tab).

This will take you straight to the detention register for that individual detention. Click on 'Reschedule’. Then you can choose whether to set the same detention again for the offending student, or escalate them to a more severe level of detention.
