What is Welfare Notes?
The Welfare Notes feature provides schools with a quick and easy way of logging and sharing important student information. Staff can add Welfare Notes to a student’s profile and then choose whether to share them with other select staff. However, Welfare Notes are not visible to students or parents.
Access Welfare Notes
Staff can access Welfare Notes in several areas of Satchel One, including (but not limited to):
Class - Student list
Student - Overview
Permissions
A member of staff’s level of access to Welfare Notes is dependent on the permissions linked to the Role they have been assigned. The relevant permissions for Welfare Notes are:
My welfare notes
Other welfare notes
Shared welfare notes
Restricted welfare notes
Pinned welfare notes
Super Admin users can grant View, Create, Edit or Delete access for the above permissions.
View Welfare Notes
In several areas of Satchel One, you’ll see a student’s name with a small blue 'i' (information) icon next to it:
Click the blue ‘i' icon to view the student’s Welfare Notes. If another member of staff has shared a new Welfare Note in relation to this student and you haven’t read it yet, the blue 'i' icon will be flashing.
On the next screen, each Welfare Note linked to this student is displayed as a tile:
Use the search box at the top to filter the Welfare Notes by a specific key word. For example, you may decide to search for all the Welfare Notes containing the word ‘pastoral’ to identify any pastoral concerns.
The dropdown menu at the top contains four options:
My and shared notes
My notes
Shared notes
All notes
Switch between these different options to filter the list of Welfare Notes.
On the bottom right-hand side of the Welfare Note tile, you will see one or two icons with an accompanying number.
Eye icon - Indicates the number of times the Welfare Note has been viewed by the staff it was shared with.
Paperclip icon - Indicates the number of times the file attached to the Welfare Note has been viewed by the staff it was shared with.
Click on the relevant icon to identify the names of staff who have already viewed this Welfare Note / attachment.
Create Welfare Notes
When viewing a student’s Welfare Notes section, click the green ‘Create’ button to create a new Welfare Note on their profile.
Enter relevant notes about the student using the textbox (1000 character limit). You may want to utilise the available formatting options - bold, underline, italics, strikethrough, bullet points, numbered list and hyperlink.
Alternatively, click ‘Attach file’ if you want to add an attachment to your Welfare Note - you can upload a file from your computer, Dropbox, Google Drive or OneDrive. Up to 10 files can be attached to a single Welfare Note.
On the bottom left-hand side of the ‘Create’ section, there are three additional options - all of which are switched off by default.
‘Shared’ toggle - Enabling this means other staff can view your Welfare Note.
Pin icon - Enabling this means your Welfare Note always appears pinned at the top of the student’s Welfare Notes section.
Padlock icon - Enabling this means your Welfare Note is marked as restricted.
If any of these options are greyed out, it means you have not been granted the required ‘Create’ access for the associated permission (see ‘Access Welfare Notes’).
Once you’re happy with your Welfare Note and the associated details, click ‘Save’.
Edit / Delete Welfare Notes
To edit or delete an existing Welfare Note, find the relevant tile and click the options menu (three vertical dots).
You can also enable / disable the ‘Shared’ toggle, pin icon and padlock icon directly from the Welfare Note tile by clicking the appropriate icon.
Export Welfare Notes
Individual student
To export Welfare Notes for an individual student, open their Welfare Notes section and then click the options menu on the top right-hand side (next to the ‘Create’ button). Then click ‘Export welfare notes’.
Whole class
To export Welfare Notes for a whole class, navigate to the class ‘Student list’ and then click the options menu on the top right-hand side. Then click ‘Export welfare notes’.
Whether you’re exporting for an individual student or a whole class, you can opt to include particular categories of Welfare Notes in your export:
My notes
Shared notes
Other teachers' notes
Restricted notes
You can also opt to include Welfare Notes from the current academic year only, or all academic years.
Click ‘Export’. The resulting download displays all of the Welfare Notes you selected in one single PDF.

What kind of information should I communicate using Welfare Notes? | Anything! Although the feature is called Welfare Notes, you don’t just have to log student welfare information. Staff can use Welfare Notes to communicate any information about a student which they consider important to keep a record of. |
Are Welfare Notes visible to students and parents? | No, students and parents cannot see Welfare Notes at all. Welfare Notes are only visible to staff. |
Do Welfare Notes remain on student profiles when the academic year rolls over? | Yes, Welfare Notes are unaffected by the academic year rollover and will remain on student profiles unless deliberately deleted. |
Our school already has a lot of student information stored in a different system. We want to transfer this information to each student’s Welfare Notes section on Satchel One. Can this be done en masse? | Yes, we have a CSV template which we can share with you. If you populate our CSV template with the required information, we can do a bulk-upload on your behalf so that each student’s Welfare Notes section is filled in.
