End of year checks (Manual Schools)

Prepare for academic year promotion and rollover

Each academic year record contains an ‘End of year checks’ section that allows you to stay on top of your rollover tasks.

​Academic year setup

The first step to the academic year rollover is to create the next academic year and set up term dates and school closures: Academic years.

💡 Please be aware that when one academic year ends, the next year starts the next day - there cannot be gaps.

Create new students

Rather than manually creating parent and student accounts for your new intake or sending your files to us, you can import their details and enrol them via CSV independently. You can find step by step instructions in this article: CSV imports

Delete leavers

Students who are leaving the school will need to be deleted.

Go to the Student Directory, tick the relevant students and then click the blue ‘Actions’ button to delete users en masse. It’s helpful to filter by your oldest year group first and remove them in one large group, then identify any individuals afterwards.

Promote students

In the 'End of year checks' section at the bottom of your current academic year, you will find the action to promote students to the next year and reg group.

Each year group should be automatically mapped to advance to the next at the start of the academic year; you can make adjustments and choose a different promotion date if required.

Add students to groups

The ‘Add to groups’ action on the Student Directory can be used to add students to multiple groups at once. Find step by step instructions here: Add students to groups.

Create new staff accounts

If you have a new member of staff joining the team, you can create their account and add contract details via the Staff directory.
