What are Detentions?

The Detentions app allows schools to assign, manage, and track student detentions efficiently -from scheduling and attendance to rescheduling and reporting.

Set detention

Go to Detentions from the main menu and click Set Detention.

First choose a Detention type from the list. This may pre-populate some fields based on your school’s policy. A summary of the selected type is shown on the right-hand panel.

Alternatively you can manually select:

  • Cover teacher: The member of staff who will oversee the detention. This detention will appear on their Timetable and Detention list.

  • Scheduled date: When the detention will take place

  • Location: The room the detention will be held in

  • Start and end time: Based on the duration of the detention

To add students to this detention, search for them by name and select the behaviour reason from the list. You can also select the activity during which the student acted in the way that resulted in this detention.

Any comments you choose to add here, will be visible to all involved students and their/parents carers with site access.

Click Done when you have finished adding the student details, and Save to create the detention.

Access the full list of detentions by going to Detentions from the main menu.

By default this is showing all detentions set for the current week. Use the date picker to select a different timeframe. You can click on Today to easily revert back to the current date.

You can choose which detentions you would like to see by adjusting the filters:

  • All detentions

  • My cover β†’ Detentions you are covering

  • My detentions β†’ Detentions you have added students to

Each of the detention cards displays a number of useful information to help you identify them easily:

  • Date

  • Location and time

  • Cover teacher

  • Detention type

Students

Navigate to a student by clicking on their name in any of their groups or use the πŸ” Quick search tool at the top right of your screen.

Scroll down on the Overview page to see a summary of recent Detentions. You can click on a detention title to access the detention register or hover over the status icon to see more details.

Class detentions

Navigate to a class via My classes or the πŸ” Quick search tool at the top right of your screen. Click the Behaviour button.

High-level insights for students in this class are provided on the right hand side of the page. The behaviour and detention breakdowns shown here change dynamically according to the selected students and applied date range.

You can click on a detention title to access the detention register.

Click on Record attendance on a detention to update the detention register. When all students' attendance marks have been recorded, this button will say β€˜View attendance’ instead.

You can filter the register by specific student or attendance code.

Expand the detention details section above the students table if you need a reminder about the detention type and date.

On the list of students you will see a summary of the their attendance for the day which will help you make an informed decision when updating the detention register.

Click on the arrow beside the code field to see a list of all available options:

  • Attended β†’ For students who were present

  • Authorised absence β†’ For students who could not attend and should be rescheduled

  • Unauthorised absence β†’ For students who were expected to be present and did not turn up

Reschedule detentions

Absent students can be rescheduled for detention on a different date. For example, students that have been ill for the day or did not attend for another reason.

Click Reschedule on the actions column to see the next available date for the selected student.

  • Approve β†’ Automatically create the new detention if you are happy with the selected slot

  • Set manually β†’ If you would like to make adjustments to better accommodate the student, eg. choose a different detention type

When a student has been rescheduled for another date, they will be easily identifiable on the detention register by the green check βœ… on the Rescheduled column:

To make changes to an existing detention, such as updating the cover teacher or adding/removing students, go to:

  1. Detentions > Detention list

  2. Locate the detention on the list

  3. Click open the options menu ( β«Ά )

Not all detention fields are editable once they’ve been set live, so in some cases it might be preferable to delete a detention and create a new one; for example, if a date change is required. This ensures that students and parents are notified ahead of time.

Reports & exports

To view and export Detention data, go to Reports > Detentions overview.

You can customise the Detention system to suit your school’s policies:

  • Detention types: Tools > Apps > Detention > Detention types. Find out more.

  • Reasons: Tools > Apps > Detention > Reasons. Find out more.

  • Activity: Tools > System > Lookups.

Parent and student views

Detentions are visible to parents and students via the mobile app. Notifications are sent when new detentions are created, and they include information about the date and time, as well as the reason and comments added by the teachers.
