What is CTF imports
CTF imports allow schools to create or update student and parent/carer accounts using Common Transfer Files from previous schools.
Import CTF
🔒 The actions within this section are controlled by the CTF imports
permission.
Navigate to Tools > Students > Student Imports > CTF imports.
Click Create to start a new import.
Upload the file provided by the previous school.
Review import
Before applying any changes, you can review and correct potential issues.

This section includes a download link for the original file and displays the name of the school that provided the CTF.
Students
A CTF file might contain multiple pupils. In this section you can view a list of students within the CTF file and their corresponding records in Satchel One.
If a UPN matches an existing student, that account will be updated.
If a UPN does not match, a new account will be created.
You can choose to:
Create new student accounts.
Skip unmatched students to only update existing users.
Modules
All sections of the CTF are selected for import by default. You can exclude specific student details from the import if you do not wish to update them.
Finalise import
On the right-hand side, a summary will display the changes to be made:
Students created
Students updated
Click Import to apply the changes.

Can I import multiple students at once? | Yes, CTF files often include multiple student records. The import process allows you to create or update accounts in bulk. |
What happens if a student already exists in Satchel One? | If the student’s UPN matches an existing record, their profile will be updated rather than duplicated. They should automatically be identified based on their UPN, if they have one, but you can also manually choose the student to update. |
Can I skip new students and only update existing ones? | Yes, you can choose to skip unmatched students during the import process to only update current users. |
What data gets imported? | All data modules in the CTF are selected by default. You can exclude specific modules before importing. |
Can I undo a CTF import? | No, once changes are applied, they cannot be automatically undone. You would need to manually correct or delete any incorrect data. |
Are parents/carers imported too? | Yes, CTFs may include parent/carer information, which will be used to create or update their records. They can be matched to existing records by either email or mobile number. Alternatively you can manually select the account to update. |
