Data Syncing Schedule

Learn more about how and when data is synced between your MIS and Satchel One

How is data synced?

Satchel One can securely connect with your school's MIS and import key data on a regular basis.

Data is imported via one of our integration partners:

Main import

The main MIS data import occurs once every 24 hours. The following data is included in the main import and is a requirement for Satchel One to function:

  • Users* (staff and students)

  • Classes

  • Year groups

  • Student inclusion data

ℹ️ *Please note that any changes to names, staff roles and / or email addresses made in your MIS will not be automatically reflected in Satchel One.

The table below shows which integration partners can support your school's main import:

Additional imports

Additional data can be imported to increase the functionality of Satchel One, but this is dependent on which MIS your school uses and which Satchel One apps you have enabled. Please note that additional data imports may carry an extra cost.

* Please avoid changing Timetables during the school day where possible.

Please also be aware that cover lessons managed by the SIMS Cover app / alternative provision sessions managed via Nova T-6 will not be shown in Satchel One.

** Please ensure that if you're using Attendance Pro, all present and historical marks are logged in Satchel One to avoid data conflicts. For more information on how to use Attendance Pro successfully, please click here.

*** Same-day changes are not available for Documents as data is uploaded from your MIS to XoD overnight. Any new 'Linked Documents' created in your MIS will be accessible via Satchel One the next day, allowing you to perform Document imports as needed.

Writeback to MIS

If your school's MIS is SIMS or Bromcom, it's possible to set up writeback for the Behaviour and Detentions apps (although not required).

This means that when staff take actions on Satchel One (issuing points, setting detentions, or recording detention attendance), the associated data is automatically written back to the MIS. Writeback should be almost instant, but may take longer in some cases.

Concerned about sync?

If you are concerned that your data is not syncing correctly, please contact us using the blue chat bubble within Satchel One; we'd be glad to help.

FAQ

Question

Answer

Can we customise the times when particular data points are imported from our MIS?

No, the MIS data import schedule is fixed and cannot be customised to suit individual schools.

Can we change the specific data points which are imported as part of the daily MIS data import?

No, the daily MIS data import includes a fixed set of data points which cannot be changed - users, classes, year groups and inclusion groups.

Additional data points may be imported depending on which MIS and which Satchel One apps your school uses (see table above).

Which inclusion groups can be imported from our MIS into Satchel One?

This depends on your school's MIS. However, the full list of inclusion groups we can import across all MIS's are:

  • EAL - English as an Additional Language

  • FSM - Free School Meals

  • FSM6 - Free School Meals Ever 6 (registered within the last six years)

  • LAC - Looked After Children

  • MA - More Able

  • PLAC - Previously Looked-After Children

  • PP - Pupil Premium

  • SC - Service Child

  • SC6 - Service Child 6 (registered within the last six years)

  • SEN - Special Educational Needs

Can we customise the inclusion groups which are imported from our MIS?

It's not currently possible to customise this list or import any additional inclusion groups from your MIS.

However, as a workaround, additional inclusion groups could be created in your MIS as assessment types. Assessment types can be synced to Satchel One (depending on your MIS), making them visible on seating plans and in other areas. For example, you could create an assessment type called 'Health Conditions' which includes codes such as 'T1D' (Type 1 Diabetes), 'VI' (Visual Impairment), and 'ALG' (Allergies) etc.

We have made a change in our MIS which hasn't synced to Satchel One yet, and we can't wait until the next automatic sync. Can you force a manual sync sooner?

This is possible in certain situations. Please contact us via the chat bubble and we'll see if we can assist.
