Each academic year record contains an ‘End of year checks’ section that allows you to stay on top of your rollover tasks, and retroactively generate CTFs for leavers.
Academic year setup
The first step to the academic year rollover is to create the next academic year and set up term dates and school closures: Academic years
Create new students
Rather than manually creating parent and student accounts for your new intake, you can import their details via CSV. You can find step by step instructions in this article: CSV imports
If you would like to manage the admissions process via Satchel One, you can also set up intake seasons for your admission groups, track application statuses and log appeals. This step is optional, and you can read more about it here: Admissions
Process leavers
Students who are leaving the school will need to have their leaving date updated. For the cohort going to secondary school at the end of this academic year, you can perform this action en masse via the Student Directory.Select the outgoing year, and click Actions > Process leavers.
In the next screen you will be able to update the students' leaving date, reason, and destination school which will allow you to generate CTF files for them. Destination schools can be added in Linked schools.
Promote students
In the 'End of year checks' section of the current academic year you will find the action to promote students to the next year. Each year group should be automatically mapped to advance to the next at the start of the academic year. You can make adjustments and choose a different promotion date if required.
Create new staff accounts
If you have a new member of staff joining the team, you can create their account and add contract details via the Staff directory.
Import new Timetable
As soon as the new lessons have been set up in Timetabler, it will be time to import the new file into Satchel One. Simply make sure to select the 2025 academic year from the dropdown prior to updating the file. Importing this file will not only create the new lessons but also the new groups for next academic year: Timetabler imports.
Add students to groups
The ‘Add to groups’ action on the Student Directory can be used to add students to multiple groups at once. Find step by step instructions here: Add students to groups.
