What are custom fields?
When looking at a list of students or an individual student’s profile, various default fields are visible e.g. Name, Registration group, Year group, House group, Last activity etc.
In addition to these default fields, schools can create their own custom fields. These custom fields only appear on student profiles, and are only visible to staff - not students or parents. Visibility can also be restricted to specific staff.
Manage custom fields
🔐 The actions within this section are controlled by the Student custom fields and Restricted student custom fields permissions.
To view, create, edit, or delete custom fields, go to Tools → System → Custom Fields.
If your school has already created custom fields, they’ll be listed here in rows. There are six column headings across the top:
Name
Description
Type (Text / Date)
Active (toggle on / off)
Restricted (toggle on / off)
Actions (Edit / Delete)
From this screen, you can adjust the toggles to make an existing custom field active / inactive or restricted / unrestricted. You can also edit / delete an existing custom field by clicking the icons underneath Actions.
Create custom fields
To create a new custom field, click Create on the top right-hand side.
On the pop-out menu, add information about your custom field: Name, Type (select Text or Date) and Description:
Click Save. Then toggle on Active to make the custom field visible and selectable.
📝 To restrict a custom field so it’s only visible to specific staff, toggle on Restricted. Only staff with the Restricted student custom fields (View) permission will be able to view this custom field.
Populate custom fields
🔐 The actions within this section are controlled by the Student custom fields permission
Having created a custom field, the next step is to populate the data within that field for each student. To do this, you’ll need to access a student’s full profile, which can be done in two ways:
Anywhere across the site, click on a student’s name to access their Overview. Then click View profile to access their full profile.
Alternatively, go to Tools → Students → Student directory, find the student, and click View on the right-hand side to go straight to their full profile.
When looking at a student’s full profile, see Jump to section on the right-hand side of the screen. In this menu, click ‘Custom fields’ to jump down to the Custom fields section.
If custom fields have already been populated for this student, you’ll see the information here:
If not, the Custom fields section will be empty. Even if custom fields have been created in Tools → System → Custom Fields, they won’t show on a student’s profile unless you populate them with data.
To populate custom fields for this student, click the pencil icon. Populate the custom fields as required and click Save.
View custom fields
🔐 The actions within this section are controlled by the Student custom fields permission
Custom fields can be displayed on an individual student’s profile (as we’ve already seen), on a class Student list, or in the Student directory.
On the Student list / Student directory, click the Columns button on the top right-hand side. This allows you to select the data you’d like to see displayed in the list of students. Search for a custom field, then select it to bring the data into the student display as a column.
