What is the Attendance report?

Attendance is a report displaying a summary of attendance and punctuality across the whole school - both for specific groups and for individual students.

You can use this report to easily identify students whose attendance or punctuality is below expectations.

To access the Attendance report, navigate to Reports → Attendance.

The Attendance report consists of two main sections - the high level summary at the top, and the Attendance Log table below.

Summary

The high level summary at the top of the Attendance report consists of three graphics - Attendance Rate, Punctuality Rate, and Attendance Groups.

If no filters are applied, the figures shown in the Attendance Rate, Punctuality Rate and Attendance Groups are representative of the whole school. If filters are applied, the figures shown in the graphics will automatically update to reflect the selected cohort of students.

Attendance Rate

The Attendance Rate graphic shows the average attendance rate for the selected cohort of students.

Punctuality Rate

The Punctuality Rate graphic shows the average punctuality rate for the selected cohort of students.

Attendance Groups

The Attendance Groups graphic shows the number of students who’s attendance rate % for the academic year to date falls between the thresholds of each colour-coded Attendance Group.

Attendance Log

The Attendance Log table summarises, for every student, attendance data for the academic year to date.

The table consists of rows and columns. Each row represents an individual student, and the following column headings are visible across the top:

  • Student

  • UPN

  • Registration group

  • Year

  • Attendance rate

  • Punctuality rate

  • Possible marks

  • Present marks

  • Approved educational absences

  • Authorised absences

  • Unauthorised absences

  • Missing marks

  • Late after registration

  • Late before registration

At the intersection of each row and column heading, you’ll see a number indicating the corresponding result for that student.

You can sort the Attendance Log table in ascending / descending order by any of the column headings. To sort, click the column heading - click twice to sort in reverse order.

To view the Attendance Log data in full screen mode, click the full screen icon (four diagonal arrows) on the top right-hand side of the table.

Filter the Attendance report

The Attendance report displays data for the academic year to date, and it’s not possible to change the date range. However, you can use the filtering options at the top of the page to refine the data displayed in other ways.

Toggle on ‘Filter students’ to reveal the following filters:

  • Sex

  • Current year group

  • Current reg group

  • Current house group

Toggle on ‘Filter students by inclusion groups’ to reveal the following filters:

  • Inclusion group

ℹ️ You can also choose to include or exclude the selected option in your dataset

Once your filters are selected, be sure to click Apply filters. Any filters applied will affect the entire Attendance report - both the high level summary at the top, and the Attendance Log table.

As an alternative, you can filter the data by any of the individual column headings. To do this, hover your cursor over the column heading and click the three horizontal lines.

A text box will appear. In the text box, type the word you’d like to filter by and press Enter on your keyboard.

Export data

To export the Attendance Log table in CSV format, click the blue button ‘Export CSV’ on the top right-hand side. Any filters you have applied will be carried over.
