What is the daily tracker?
The daily tracker provides an overview of attendance registers for every timetabled session (AM/PM) and lesson across the whole school today. Attendance Officers can use it to quickly identify incomplete registers and remind teachers to complete them. The daily tracker is only visible for schools using Satchel One as their MIS.
Navigating the daily tracker
đ The actions within this section are controlled by the Daily tracker permission
To access the daily tracker, click Attendance on the main navigation menu, then click âDaily trackerâ (second tab across the top). Alternatively, you can access the daily tracker through the Reports section.
Each period slot in your school timetable is represented by a column, with columns ordered from left to right by start time.
At the top of each column (the column heading), youâll see the period name (e.g. Tues P2), start time, and the current completion status for registers in this period slot. The completion status can be one of four options:
Not started = Lessons havenât started yet
Pending = First five minutes of the lesson
X incomplete = Number of registers (school-wide) where at least one student has not been allocated an attendance mark five minutes into the lesson
Completed = All students have been allocated an attendance mark for lessons in this period slot
Incomplete registers
If the column heading for a period slot shows âX incompleteâ (e.g. 3 incomplete), those 3 lessons with missing attendance marks are displayed in blocks below the heading:
Each individual lesson block shows four key pieces of information:
Name of the class - Click to open the attendance-marking screen for this lesson in a separate tab - great for making quick changes based on new information. For example, if a parent has called in to confirm the absence of their child for period 1, the Attendance Officer can click on the relevant lesson and quickly apply an absence mark / comment.
Room the lesson is taking place in
Teacherâs initials - Hover your mouse to see the teacherâs full name, or click to open a new email draft pre-filled with their email address - a quick and easy way for Attendance Officers to email teachers about a particular lesson.
Number of âmissingâ students - In the above screenshot, the first lesson with an incomplete register shows â1 missing of 29â highlighted in red. In this context, âmissingâ means that one student in the class has been left blank by the teacher i.e. not allocated an attendance mark for this lesson, and therefore the register is incomplete. It does not mean that one student has been reported missing from the lesson.
Complete registers
Within the same column and below the lessons with incomplete registers, youâll see a summary of lessons with complete registers for this period slot. A complete register is one where all students in the class have been allocated an attendance mark of some kind.
Whereas lessons with incomplete registers are shown individually and highlighted in red, lessons with complete registers are summarised e.g. â16 completeâ and collapsed into a summary box for clarity. This is because Attendance Officers typically donât need to see or take action in relation to completed registers.
However, if youâd like to see the individual lessons with a completed register, simply click the right-facing arrow on the summary box. This will reveal each lesson displayed as an individual block, which you can interact with in the same way as incomplete lessons e.g. by clicking the teacherâs initials to open a new email draft pre-filled with their email address.
FAQ
Question | Answer |
Does the daily tracker always show completely up-to-date register information? | The daily tracker page is not live, but it automatically refreshes every 2 minutes for a total of 10 minutes. Just below the Refresh button on the top right-hand side, thereâs a progress bar indicating when the next automatic page refresh will occur. You can also manually refresh the screen at any time by clicking the Refresh button. |
Do I have to email teachers about incomplete registers? | No, teachers already receive an automated register alert if they havenât completed their register five minutes into the lesson. However, if youâd like to email a teacher separately, click on their initials to open a new email draft pre-filled with their email address. |
